Title: Administrative Assistant, ECS
Location: Seattle, Washington

Reports to: Sr. Director of Employee and Community Services
Hours: Full-time / Days


Provide administrative and other supports to all ECS Department programs including Deaf-Blind Program (DBP), Orientation and Mobility (O&M), Accessibility, Braille, Employee Support, and Supported Employment (SEP)


  • Maintain multiple databases. Tasks include but are not limited to: creating and updating records, running reports, grouping records for targeted mailings; upload documents and ensure accuracy of data entry
  • Prepare and proofread as needed: departmental reports, certification documentation, audits and surveys
  • Manage Deaf-Blind Retreat application, data entry, and correspondence process
  • Support Retreat planning closer to the date
  • Administer ORCA Card registration and payroll deduction processes
  • Coordinate SSPs or Sighted Guides for Lighthouse and department events as needed
  • Serve as central point of contact for department
  • Maintain clear system for supply and equipment orders, purchases and delivery related to ECS Department needs
  • Maintain department and company calendar as relevant, including schedule of ongoing meetings, appointments, program deadlines
  • Support ECS and Lighthouse trainings by coordinating set up and clean-up of meeting space
  • Drive staff or program participants to events, meetings, and activities (primarily for DB Retreat and DB Community Class) as needed
  • Register staff members for workshops, meetings and conferences
  • Manage travel arrangements such as book airfare, hotel and car rental as needed for staff members
  • Manage expense and mileage reports and make pre-approved purchases using company cards
  • Provide general support to staff for daily needs such as laminating, making braille requests, and information requests
  • Maintain a stock of supplies such as copy paper, toner, and general office supplies
  • Schedule van reservations for ECS-DBP and support room reservations through front office as needed
  • Attend the annual Deaf-Blind Retreat
  • Attend regular department staff meetings and trainings as required. Attend monthly Admin meetings
  • Attend program and organizational events as required
  • Maintain strict confidentiality standards at all times in keeping with Dept. policies and best practices

Knowledge, Skills and Abilities Requirements:

  • Demonstrated excellent organizational skills
  • Ability to meet deadlines and handle interruptions effectively and professionally
  • Comprehensive knowledge of Windows applications, including MS Office suite and Internet Explorer
  • Excellent customer service skills, including timely follow up and ability to communicate effectively with all stakeholders
  • Respectful of cultural diversity; knowledgeable about Deaf /DB Culture
  • Ability to use ASL in visual and tactile modes
  • Excellent organizational skills, detail oriented
  • Ability to problem solve quickly and effectively
  • Ability to take initiative, function autonomously, and be dependable
  • Ability to provide sighted guide and visual information
  • Kind, courteous, and professional demeanor at all times
